Pre-Gathering Setup (7:30-8:40am)
Lead the morning team preparation and ensure all areas are ready.
7:30am: Gather team for morning meeting - assign roles and handout name tags
7:40-8:20am: Be present and support various floors - be available for questions
8:20am: Walk the floors to ensure proper setup of areas and working check-in stations
8:30am: Gather Host team for Volunteer meeting in Sanctuary; during meeting, make sure to ask Jordan how long the homily is expected to be, so that you know approx. when to notify Parish Kids to return for communion
8:40am: Assign Greeters and locations and Communion servers
During 9am Service
Help keep the flow of the gathering on time and collect necessary data.
Greet people as they arrive
Count attendance in the gathering (only count host/AV/band once in the morning)
Count how many available parking spots in the back Kalen lot
Count Parish cars at Millennium parking (all cars parked along hedges and in median)
During 3 Good Minutes, bring the white vase (from back bookshelf) to the Communion Table
At the start of the homily, text Sarah Fetz and let her know approximately how long the homily is expected to go
At the end of the homily, text Sarah with a 3-5 minute "heads up" (if she does not reply, physically go down and let her know)
Notify the Volunteer Kids Room that the homily has ended, giving them a 3-5 minute "heads up" to return to the gathering for communion
Greet folks at the exit as they leave the gathering
Begin working with team to complete in-between gathering checklist
During 11am Service

Greet folks at the exit as they leave the gathering
Begin working with team to complete in-between gathering checklist
Post-Gathering Wrap-Up (12:30-12:45pm)
Complete final checks, inventory, and reporting before departure.
Assist in tear down as needed
Check for any "glaring" coffee stains and address as needed
Check coffee and half & half inventory
Check all beverage station supplies (cups, lids, stirs, napkins, sugars, tea, etc.)
Check all communion table supplies (crackers, wine, candles, etc.)
Check all cleaning supplies (paper towels, carpet cleaner, trash bags, etc.)
Fill out the Captain's Form on the main host team page [ parish.community/host ]
12:40pm: Walk floors to ensure proper tear down of areas is completed
12:45pm: Check in with Morgan for any remaining items, concerns, feedback on the day
